--- Shareware Concept:
Shareware distribution gives users a chance to try software before buying it.
If you try a Shareware program and continue using it, you are expected to
register. Individual programs differ on details -- some request registration
while others require it, some specify a maximum trial period. With
registration, you get anything from the simple right to continue using the
software to a myriad of benefits.
Copyright laws apply to both Shareware and commercial software, and the
copyright holder retains all rights, with a few specific exceptions as stated
below. Shareware authors are accomplished programmers, just like commercial
authors, and the programs are of comparable quality. (In both cases, there
are good programs and bad ones!) The main difference is in the method of
distribution. The author specifically grants the right to copy and distribute
the software, either to all and sundry or to a specific group. For example,
some authors require written permission before a commercial disk vendor may
copy their Shareware.
Shareware is a distribution method, not a type of software. You should find
software that suits your needs and pocketbook, whether it's commercial or
Shareware. The Shareware system makes fitting your needs easier, because you
can try before you buy. And because the overhead is low, prices are low also.
Shareware has the ultimate money-back guarantee -- if you don't use the
product, you don't pay for it.

Contact Scheduler 4 is supplied as is. The author disclaims all warranties,

liability for damages, direct or consequential, which may result from the
use of Contact Scheduler.
Contact Scheduler 4 is a "shareware program" and is provided at no charge to
the user for evaluation. Feel free to share it with your friends, but please
do not give it away altered or as part of another system. The essence of
"user-supported" software is to provide personal computer users with quality
software without high prices, and yet to provide incentive for programmers to
continue to develop new products. If you find this program useful and find
that you are using Contact Scheduler and continue to use it after a 30 day
trial period, you must make a registration payment to DataTek Computer
Services.
Commercial users of Contact Scheduler 4 must register and pay for their copies
of Contact Scheduler 4 within 30 days of first use or their license is
withdrawn. Site-License arrangements may be made by contacting DataTek Computer
Services.
Anyone distributing Contact Manger 4 for any kind of remuneration must first
contact DataTek Computer Services at the address below for authorization.
This authorization will be automatically granted to distributors recognized
by the (ASP) as adhering to its guidelines for shareware distributors, and
such distributors may begin offering Contact Scheduler 4 immediately. However
DataTek must still be advised so that the distributor can be kept up-to-date
with the latest version of Contact Scheduler 4.
You are encouraged to pass a copy of Contact Scheduler 4 along to your friends
for evaluation. Please encourage them to register their copy if they find
that they can use it. All registered users will receive a copy of the latest

--- Installation:
To install Contact Scheduler 4 (CS4), simply create a sub-directory and
decompress the distribution file to this sub-directory. For the purpose
of example we will assume that the user is copying the Contact Scheduler 4
.ZIP (CS400SW.ZIP) file from drive A to drive C. You will have to substitute
whatever drive you intend to use.
Change to drive C type C: [press Enter]
make sure you're in
the root directory type CD\ [press Enter]
create the sub-directory type MD CS [press Enter]
change to this new
sub-directory type CD CS [press Enter]
copy the compressed file
to the sub-directory type COPY A:\CS400SW.ZIP C: [press Enter]
de-compress the file type PKUNZIP CS400SW.ZIP [press Enter]
delete the .ZIP file type DEL CS400SW.ZIP [press Enter]

CONTACT MANAGER:
--- Overview:
Contact Scheduler 4 is a complete electronic tracking system to keep up with
customer/clients. CS4 is mouse aware but NOT mouse dependent and uses
intuitive screen design to make data entry and editing fast, easy,
efficient and productive. All data for each client is contained on a
single screen.
Contact Scheduler 4 creates one database which you can sub-divide into groups
for organizational purposes. The program is mouse aware so you may use the
keyboard function keys or use the mouse to click on the menu to activate
the desired task.
--- Starting The Program:
Start the program by typing 'CS1' at the DOS prompt.
The following screen will appear. In the registered version your name and
serial number will appear and the question "Would you like to print the
order form?" will not appear.
Press 'Y' to print the order form and 'N' to skip the order form and enter
the program.

To force color mode when starting Contact Scheduler type 'CS /C' at the DOS
prompt. To force monochrome mode type 'CS /B'. You can see these options by
typing 'CS /?' at the DOS prompt.
--- Using the Mouse:
When editing the data fields you may press F4 to advance through the fields
one at a time or simply click on the single field you want to edit. When you
are done click anywhere off the highlighted field and your data will be
saved. You may also use the mouse to move around inside the edit field.
When you click on a field, the field and any data in it change colors and the
cursor is placed at the beginning of the field. If you need to edit something
at the end of the field, just place your mouse cursor where you want to start
the edit and click once.
All menus are mouse capable, but there are some functions in which the mouse
is purposely turned off to prevent accidental data damage or deletion. The
mouse is also turned off in the Custom Report Generator function.
The mouse functions are one of things we are working on enhancing in future
versions of the program.
--- Moving Around the Menus:
Most menus contain multiple functions. For example the main option menu
contains 40 options, 20 of which are displayed at a time. To move through the
various choices you may press the up or down arrow keys. Depending on the
direction you are moving, when you reach the last or first item on the current
menu, the next or previous set of menu options will appear if there are any.
A single mouse click will relocate the selection bar to that option. A double
click will engage that option.
You may use the left and right arrow keys to switch between menu sets. There
is no way for the mouse to switch menu blocks at this time. (We're hard at work
on that!)
For example; using the right arrow key at the first item of the first menu
will cause the selection bar to jump to the last item of the first menu.
Pressing the right key again will relocate the selection bar to the last
item of the second menu. Generally it skips 19 options either down (right
arrow) or up (left arrow).

--- Field Definitions:
This section will generally explain the fields in CS4 and their
intended use and their possible uses.
Group Name: Allows you to attach this record to a group of related
related records. Press F2 to display a pop-up group
selection menu. Use the cursor keys position the
selection cursor and the 'Enter' key to select the
group name.
Match Group: This field displays the group that is currently
selected for matching. Only records with this group
name will be displayed. You may click on this field
to display the Match Group selection menu. The default
for this field is 'ALL' which displays all records
regardless of the group they are attached to.
Tag: Click on this field to tag or untag a record. A checkmark
will appear if the record is tagged. The field will be
blank if the record is not tagged.
Company Name: Enter the company name if any in this field. A person's
name can be used here if a company name is not
appropriate.
Address 1: Line 1 of 2 for the address.
Address 2: Line 2 of 2 of the address. Helpful with international
addresses.
City: Enter the name of the city here.
State/Province: Enter the U.S. state abbreviation/name or the province
name in this field.
Zip/Postal Code: Free form alpha-numeric field for U.S. and international
zip/postal codes.
Country: Enter the country name here if applicable.
Address 3: Line 1 of 2 for a 'remit to' or 'alternate' address.
Address 4: Line 2 of 2 for a 'remit to' or 'alternate' address.
City: Enter the alternate city name here.
Zip/Postl Code: Free form alpha-numeric field for alternate U.S. and
international zip/postal codes.
Country: Enter an alternate country name here.
Contact 1 Name: Enter the name of your primary contact.
Contact 2 Name: Enter the name of your secondary contact.
Contact 3 Name: Enter the name of your tertiary contact.
Contact 1 Title: Enter the Title of your primary contact. This is a
good place to enter a phone extension if any.
Contact 2 Title: Enter the Title of your secondary contact. This is a
good place to enter a phone extension if any.
Contact 3 Title: Enter the Title of your tertiary contact. This is a
good place to enter a phone extension if any.
Main Phone: Enter the main phone number for this company or person.
Contact 1 Phone: Enter the phone number for your primary contact.
Contact 2 Phone: Enter the phone number for your secondary contact.
Contact 3 Phone: Enter the phone number for your tertiary contact.
Other Phone 1: Enter an alternate phone number here.
Other Phone 2: Enter an alternate phone number here.
Other Phone 3: Enter an alternate phone number here.
Fax Number 1: Enter a fax number here.
Fax Number 2: Enter a fax number here.
Fax Number 3: Enter a fax number here.
**NOTE: All phone number fields are free form fields that allow you to enter
U.S. and international phone numbers. If you wish to use the autodialer, you
must enter the number exactly as you would dial it. A comma sends a pause to
the modem. (See the section 'Autodialer' for more information.)

Well, you get the idea. If you don't plan on using the
autodialer then you can enter phone numbers any way you like.
Ex. (610) 555-1212 x4278
Last Edit Date: This field is automatically updated when a new record
is added or when a record, comment or topic is
updated. This field is used to generate the Activity
Report.
Follow-Up Date: This field is used by the user to enter a follow-up date
for the next client contact. You can use the calendar
feature to enter a date here or enter it manually. This
field is used to generate the follow-up report.
--- Comments and Topics:
The comments section is a scrollable window 25 lines by 78 characters. We
choose this option instead of trying to assign fields for Children's Names,
Married, Birthdate, etc. It is our belief that no matter how many fields we
establish there would always be more to add. So we decided to expand the
comments block so that you can enter any data you like in any format you like.
With the report generator option you can include any comment lines on
customized reports.
The line that is in edit mode will be a highlighted. Since the comments
section is mouse aware you can click anywhere on the line to relocate the
cursor. CS4 defaults to the first position on any given line.
The four options on this screen are Save Data, Clear Line, Restore Line, and
Erase All.
By pressing the 'ESCape' key or clicking on the Save Data button you will save
the comments field and return to the view mode.
Pressing 'Alt-C' or clicking on the Clear Line button will clear the current
line of comments.
Pressing 'Alt-R' or clicking on the Restore Line button will restore any data
you cleared using the Clear Line option. You can only restore data on the line
that was cleared. Please Note that Restore Line will overwrite any existing
data on the current comment line.
'Ctrl-C', the Erase All button will clear all the comment for the current
record. There is no way to retrieve data erased by this option.
The Topics area allows you to enter a line of keywords to search against
later. You can enter this in the form of an identifying sentence or in the
form of keywords separated by a space. CS4 treats every word separated by a
space as a keyword whether you choose the sentence form of the keyword form.
Sentence form: New retail packing material client.
Keyword form: Client Retail Material Packing New
The three options on this screen are Save Data, Clear Line, and Restore Line.
By pressing the 'ESCape' key or clicking on the Save Data button you will save
the comments field and return to the view mode.
Pressing 'Alt-C' or clicking on the Clear Line button will clear the current
line of comments.
Pressing 'Alt-R' or clicking on the Restore Line button will restore any data
you cleared using the Clear Line option. You can only restore data on the line
that was cleared. Please Note that Restore Line will overwrite any existing
data on the current line.
--- Command Function Keys:
You may access the function commands in three different ways.
1) Press the 'M' key; or click on the 'Menu' line in the command block at the
bottom right of the screen to view the pop-up menu. Then using the arrow keys
to move to the option you want and press 'ENTER'.
2) Press the 'M' key or click on the 'Menu' block to view the pop-up menu.
Then double-click on the option you want.
3) After a while you'll memorize the options, just press the function key
or function key combination that appear on the pop-up menu and
corresponds to the option you want.
F1 - Next Record:
CM4 automatically starts you at record #1. Displays the next ascending record
in the file or the matched group if a match group is set to something other
than 'ALL'. You may also click on the '>' symbol in the command block at the
bottom right of the screen. (The HOME key will take you to the first record
in the file and the 'END' key will take you to the last record in the file.)
The Right Arrow or Up Arrow keys will also display the next record.
F2 - Previous Record:
Displays the next descending record in the file or the matched group is a match
group is set to something other than 'ALL'. You may also click on the '<'
symbol in the command block at the bottom right of the screen.
The Left Arrow or Down Arrow keys will also display the previous record.
F3 - Add Record:
Use this option to add a new record to the file or press the 'INSERT' key.
F4 - Edit Record:
Use this option to edit or change existing data on the currently displayed
record by advancing through the fields one at a time. Pressing 'ENTER' will
NOT clear a field.
Clicking on a field allows you to edit that field alone. When done, click
anywhere on the screen to stop editing that field. Mouse editing will not
advance you through the fields in sequence.
**NOTE: Two keys are available while adding and editing data, Alt-C - Clears
a field completely, Alt-R will Restore the field just cleared as long as
you have not exited the field. Also, if you're not using a mouse you may
press 'ESC' at NEARLY every field to end edit mode.
**NOTE: While Adding or Editing a record, the 'ESC' key will end the edit
mode and return you to view mode, saving the data that is currently displayed.
A Group Name is REQUIRED in order to end the edit mode.
F5 - Tag/Untag:
Used to tag and untagged record or untag a tagged record. Tag is used for many
printing operations, Add Tag Comments, & Mail Merge. You may also click on
the 'TAG' box at the top of the screen to change the tag status.
F6 - Mass Tag/Untag:
Tags all records in the file or in the matched group if Match Group is not
'ALL'. A gas gauge below the 'Current Group' field shows the program's
progress.
F7 - Match Group:
Displays the Match Group selection menu which allows you to select a group
name that CS4 will use to display records. CS4 can separate records in groups
assigned by you. Each group name is checked against the GROUP.IDX file and
if is not found it is assumed to be a new Group Name and is added to the index
file automatically. The Reindex option removes unused Group Names from the
index file. To restrict viewing to only the records in a specific group,
use this option. A list of valid groups will be displayed and you may either
use the arrow keys or the mouse to select which group you wish to view. You
may also select a group by clicking on the 'MATCH GROUP' field on the screen.
The Match Group selection menu is 2 columns by 10 lines. If you have more than
20 groups you may view the additional groups by using the arrow keys. The names
in the box will scroll to accommodate your viewing and selection. See 'Moving
Around the Menus' above.
**NOTE: The default group is 'ALL'. This displays all entries for all groups.
To return to the default group from a specific group, select 'ALL' in the match
groups box.
F8 - List Groups:
This option is an information option that displays all the groups you are
currently using. The List Groups information menu is 2 columns by 10 lines.
If you have more than 20 groups you may view the additional groups by using
the arrow keys. The names in the box will scroll to accommodate your viewing.
See 'Moving Around the Menus' above.
F9 - Rename Group:
Allows you to change the name of a group. You will need to enter the name of
the group you want to change and the name you want to change it to in the
pop-up window or press 'ENTER' at blank fields to select the group names from
another pop-up box. Press F1 to make the change as entered or F10 to Cancel
the function. The mouse is turned off for this function. Re-Index will run
automatically after the rename function is completed to update the index
files.
F10 - Quit CS:
Exits the program.
Alt-F1 - Re-Index:
Re-Indexes the master file and the index files removing all deleted records
and group names that are no longer in use. Use this function from time to
time to clean up the data files. This option removes incorrect group names
that were originally misspelled and have been corrected. Re-index will run
automatically if CS4 cannot find a record for a Matched Group.
Alt-F2 - DOS Mail Merge:
Allows you to create an ASCII Mail Merge file that can be used with most
commercial word processors. You will be prompted for the merge file name. The
filename will accept a drive and path designation, without one then file will
be created in the CS4 directory. Mail Merge creates a file based on TAGGED
files only and it will respect any 'Match Group' designation if one is set.
Since you assign the name, you can create multiple merge files based on
multiple sets of tagged records.
**NOTE: See the section 'Mail Merge Formats' for more information on the file
itself and using it a word processor.
Alt-F3 - Add Tag Comment:
Allows you to add a line comments to ALL tagged records. This option will
respect a matched group if one is specified and will add the comments to the
first blank comment line. If no blank line is found for a record, the comment
will be ignored for that record.
Alt-F4 - Backup Data:
Creates a duplicate of all the data and index files with a .BAK extension in
the current directory.
Alt-F5 - Restore Data:
Copies the data from any existing .BAK data and index files to the current
work files. This option will overwrite your existing database. This option
has an overwrite protection question. If you choose Y you existing data WILL
BE OVERWRITTEN with the data previously saved using the BACKUP DATA command.
Alt-F6 - Search Forward:
Allows you to search for a record based on a string you enter. This search
will start at record number 1 and ascend through the end of the file. This
option respects a matched group specification. Search starts at record number
1 and ascends through the file sequentially. When a match is found, CS4 asks
if you if you want to 'Use This One?', Press Y or N or click on the Y or N.
CS4 looks for the string in the Company Name, City, and Contact Name fields
only. As you are searching a 'gas gauge' will appear below the 'Current Group'
field displaying CS4's progress through the file.
Alt-F7 - Search Backward:
Allows you to search for a record based on a string you enter. This search
will start at the end of the file and descend through record number 1. This
option respects a matched group specification. Same as Search Forward. When a
match is found, CS asks if you if you want to 'Use This One?', Press Y or N
or click on the Y or N. CS4 looks for the string in the Company Name, City,
and Contact Name fields only. As you are searching a 'gas gauge' will appear
below the 'Current Group' field displaying CS4's progress through the file.
Alt-F8 - Search Topic:
Allows you to search for a record based on a keyword you enter. This search
will start at record number 1 and ascend through the end of the file. This
option respects a matched group specification and is based on the keywords or
sentence entered in the topics field. When a match is found, CS4 asks if you
if you want to 'Use This One?', Press Y or N or click on the Y or N. As you
are searching a 'gas gauge' will appear below the 'Current Group' field
displaying CS4's progress through the file.
Alt-F9 - Delete Record:
Deletes the currently displayed record and displays the next record in the
file or match group. This function also deletes any reference in the
associated index files. Pressing the 'DELETE' key will also delete the
current record.
**NOTE: If a match group is set and you delete the last record in the matched
group, CS4 will still attempt to locate another record in that match group.
If it fails to find a match group record, CS4 will automatically start the
reindex function to remove deleted group from the group list and index files.
Alt-F10 - Import CS4 File:
Imports a different CS4 file into your existing file that the program is
using currently. CS4 maintains several index files and a main database called
DATA.DAT. If you wanted to maintain a database of your office contacts at
home, you could copy your office DATA.DAT onto a diskette and merge it into
your file at home using this feature. This function will ask for the name of
the data file to be merged. You may enter a drive, path as well as a filename.
Press F1 to start the merge function or F10 to cancel the function. ESC will
also cancel the function.
Ctrl-F1 - Calculator:
Launches the pop-up calculator for quick arithmetic. Add, subtract, divide,
and multiply. Press F7 to send your data to the printer. You may use the
keypad for data entry and the 'Enter' key acts as the 'equals' key.
Ctrl-F2 - Calendar:
Launches the pop-up calendar to quickly set a date. Can be used to enter a
date in the follow-up date field. The following keys are active when the
Calendar is launched
Left Arrow Minus 1 day
Right Arrow Plus 1 day
Up Arrow Minus 1 week
Down Arrow Plus 1 week
+ Plus 1 Month
- Minus 1 Month
F10 Exit the Calendar
ESC Exit the Calendar
Enter Send current highlighted date to the Follow Up
Date field and exit the Calendar.
Ctrl-F3 - Delete Group:
Allows you to delete all the records in a given group. Enter the name of the
group to be deleted or press 'ENTER' at blank fields to select the group
name from a pop-up box. Press F1 to start the delete function or F10 to
cancel the function. ESC will also cancel the function.
Ctrl-F4 - DOS Shell:
Drops you into a DOS shell. Type 'EXIT' at the DOS prompt to return to CM4.
Ctrl-F5 - Combine Group:
Allows you to combine one group with another group. Similar to Rename Group
and may be combined in the future as more features are added. Enter the name
of the group to be combined and the name of the group it is to be combine
with or press 'ENTER' at blank fields to select the group names from a pop-up
box. Press F1 to start the delete function or F10 to cancel the function.
ESC will also cancel the function.
Ctrl-F6 - Match Follow-Up-Date (FUD):
Similar to Match Group except this option sets the search option to a range
of dates and then displays records whose (FUD) falls within that date range.
Cannot be used in conjunction with match group. To clear the Match FUD option,
enter 00/00/00 or all spaces. Enter a start and end date to use for the
search. Only valid dates are accepted.
Ctrl-F7 - Autodialer:
Displays the autodialer menu. Position the cursor on the number you wish to
dial and press 'Enter'. You will be prompted to pick up the phone and press
any key after you hear the number dialed and your call will be transferred
from the modem to the phone. The autodialer menu displays all the phone

Shift-F1 - Print Envelope:
Sends the 1st or 2nd address of the displayed record to the selected printer
formatted to be printed on an envelope.
Shift-F2 - Print Label:
Prints a mailing label for the currently displayed record.
Shift-F3 - Print Report:
Prints a report for the currently displayed record.
Shift-F4 - Print Group Label:
Prints mailing labels for all records in the selected Match Group. If the
Match Group is 'ALL' then labels for all records will be printed.
Shift-F5 - Print Group Report:
Print Group Reports prints reports for all records in the selected Match
Group. If the Match Group is 'ALL' then labels for all records will be
printed.
Shift-F6 - Print Tagged Labels:
Prints mailing labels for all records tagged in the CS4 database. This option
respects any Match Group criteria as well.
Shift-F7 - Print Tagged Report:
Prints reports for all records tagged in the CS4 database. This option
respects any Match Group criteria as well.
Shift-F8 - Print FUD Report:
Prints a report of all records with FUD's that are within a range of dates
you specify.
Shift-F9 - Print Activity Report:
Prints a report of all records with a Last Edit Date that falls within a range
of dates you specify.
Shift-F10 - Print Mail Merge File:
Prints a report showing all data in a DOS Mail Merge file that you specify.
This report prints all format codes as well.
--- DOS Mail Merge Formats:
CS4 mail merge function creates an ASCII file of CS4 data that be used
in nearly all commercial word processors. It is impossible for us to
provide detailed instructions for all word processor programs so we
have included instructions for WordPerfect. While the commands may be
slightly different for other programs the general procedure should be
very similar.

Save the document and clear the screen. Select 'MERGE' and choose your
letter as the Form (Primary) File and the CS4 merge file as the Data
(Secondary) File. WordPerfect will recognize the CS4 file as a DOS Mail Merge
files and will ask you for the field and record designators.

Select 'Start Merge' and WordPerfect will merge that data file and the
form file correctly.
--- Autodialer:
If you plan to use the autodialer, enter the phone numbers in the phone
number fields as you would dial them. ANYTHING that is in these fields will
appear on the autodialer menu including area codes, '1-' long distance
prefixes, '011 XXX YYY' international dialing prefixes, '9-' for an outside
line, etc. and CS4 will attempt to send them to the modem.
Entering an area code for a local number may cause the call not to go through
your local phone company's system. Conversely, not entering a 1 or an area
code for a long distance may also cause the call not to go through. The key is
to enter the phone numbers in the various fields exactly as YOU would dial
them if you intend to use the autodialer. To create a short pause enter a
comma (sometimes needed when you need to dial 9 for a outside line).
--- Print Options:
Contact Scheduler is programmed to work with standard Epson and compatible
dot matrix printers and Epson printers using ESC/P2 sequences.
When you choose any of the print option within CS4 you will be presented with
the following option block.

Use Address 1 or 2?:
Tells CS4 to use the primary or the secondary address.
Compressed Print?:
Tells CS4 to use compressed print or normal size print. There are cases where
the address is longer than would fit on a standard label. The compressed print
option allows you to fit a long address onto the labels. The compressed print
codes are governed by the Select Printer function.
Printer (1 or 2)?:
Tells CS4 which printer to use, (1 or 2), press either 1 or 2 to select LPT1
or LPT2. The printer you set in Select Printer will be used by CS4 and the
appropriate codes sent through the Printer Port you select here.
Number of Copies?:
Tells CS4 how many copies of this labels or reports you want to print. Enter
a number from 1 through 99.
Use Contact # (0-4)?:
Selects which Contact name you wish to be printed on the label. You may enter
a 1, 2 or 3 which correspond to then Contact Name field. If you wish to leave
the name field blank, enter the number 0 and the first line will be left
blank.
Start Date/End Date?:
Allows you to set a start and end date for the FUD and Activity reports.
Zip Code Order?:
Enter a 'Y' to print labels in Zip Code order. Be cautious with international
postal code formats.
Print Comments?:
Tells CS4 whether or not to print the comments when printing reports.
You may cancel any print option by pressing F10 at the following fields:

We did some major changes to the way CS4 searches for data and tags and untags
records. Adding some new index files helped greatly. Here are some numbers
that illustrate the speed increases. These tests were run on a 386DX/40
IBM Clone with 8 Mb of RAM, running DOS 6.2 and Qualitas 386MAX memory
manager.

As you can see we have achieved some significant speed increases. Hope you
like them.
--- Zip Code Sorting:
CM4 allows you to sort labels by Zip Code. There are memory constraints to
be concerned with when sorting large numbers of records. CM4 checks for
enough available memory before starting a sort routine, thereby avoiding a
system lock-up (5,000 records is the number of records that we have found
can be reliably sorted, therefore this is the limit we set in the program).
If CM4 detects that you do not have enough memory to sort a large database,
try printing labels by groups. While not a perfect solution, it will still
make the job manageable and accomplish the desired result with very little
extra work.
CM4 also creates a temporary (.TMP) file when Zip Code sorting is selected.
Obviously if you select all records to be sorted, you need to have enough
room on your hard drive to hold a duplicate of your database. After printing,
the .TMP file is deleted so as to release the room. Sorting can take some
time but the new routine handles U.S. and international postal codes (numbers
AND letters, 5 and 9 digit zips as well).
We have built in a verifification routine so that if the zipsort function
does not work correctly, and some records are out of order, CM4 will advise
the user of the failure and ask if they want to abort or continue.
--- Report Generator:
When launched, RG present a simple 5 item menu.
F1 - CREATE REPORT
F2 - EDIT REPORT
F3 - DELETE REPORT
F4 - RUN REPORT
ESC - QUIT
You can select any of these options by using the arrow keys and pressing
'ENTER' when the option you wish to execute is highlighted or you may press
the appropriate function key or the 'ESC' key.
--- Report Generator - Create Report:
The option allows you to select the row and column that you wish any of
Contact Scheduler's data fields to appear at when the report is printed.
Create report uses 2 screens to list all of Contact Scheduler's data fields.

Group - (Name of the data field) -- corresponds to the group name
field in Contact Scheduler
31 - Indicates the length of the field when printed.Therefore GROUP
is a 31 character field.
The ROW and COL fields are for the user to indicate at which row and column
this field should appear on the report. To skip a field, 'ENTER' through the
row and column fields.
You can use the up and down arrow keys to move through the row and columns
fields for each of the data field designators.
**NOTE: You can place more than 1 field on a printer line however, if you
wish to place more than 1 field per line you must be conscience of the field
sizes. For example, if you want to put the Group and the Company Name on line
1, you could not do it. Group is 31 characters, Company Name is 55 Characters,
the totals in 86 characters which is wider then the 80 columns most printers
will allow you to print per line. So, the total characters per line must add
up to 80 or less.
To Cancel the creation of a report press ESC at any field. To move to the
next page of the Create Report, press the F1 function key.
Page 2 allows you to continue placing the balance of the data fields and
give a name or description to your report.
To Cancel the creation of a report press ESC at any field. To move back to
page 1, press the F1 function key. To save the report, press the F10 function
key.
When you choose F10 to save a report, a short message will flash reporting
that RG is now compiling your report. During this short process, RG is
actually creating the outline for the report that it will send to the printer
when you choose Run Report at some point in the future.
--- Report Generator - Edit Report:
When you choose this option you will see a listing of the descriptions you
entered when you created your reports. The menu is scrollable. You can select
a report by using the arrow keys and pressing 'ENTER' when the report you
want to edit is highlighted. To Cancel selection press the 'ESC' key. Once
selected you will be presented with the same screens you saw in the Create
Report section except that the row and column values entered previously will
be displayed. Again by using the arrow keys you can move around the screen
and add, change, or delete any values you wish to alter.
Pressing 'ENTER' will advance the cursor to the next field without changing
the data. Alt-C will clear all the data from the current field and Alt-R will
restore data cleared with Alt-C assuming you have not changed fields between
executing the Alt-C and the Alt-R commands.
To Cancel the update of a report press ESC at any field. To move to the next
page of the Edit Report, press the F1 function key.
Page 2 allows you to continue editing the balance of the data fields and
either give a new name or description to your report or press 'ENTER' to
keep the report description the same.
To Cancel the editing of the report, press ESC at any field. To move back to
page 1, press the F1 function key. To save the report, press the F10 function
key.
When you choose F10 to save a report, a short message will flash reporting
that RG is now compiling your report. During this short process, RG is
actually creating the outline for the report that it will send to the printer
when you choose Run Report at some point in the future.
--- Report Generator - Delete Report:
When this option is chosen, again a list of report names is displayed. To
cancel the delete function, press the 'ESC' key. To delete a report, use the
arrow keys to select the report you want to delete and press 'ENTER' on the
report you want to delete.
--- Report Generator - Run Report:
This option again displays a list of reports that you have created. To select
a report either use the arrow keys and press 'ENTER' when the report you wish
to print is highlighted.
You may cancel the print selection by pressing 'ESC'. After selecting a report
a list of Contact Schedler's groups will appear. The default group is 'ALL'
indicating that the report will print all records. If you wish to limit the
report to printing only A particular group, use the cursor keys to highlight
the group the want to print and press 'ENTER'. If you want to print the report
for ALL records, move the cursor to the group name 'ALL' and press enter.
After this, RG asks 'Tagged Only?'. Answering 'Y' (Yes) will tell RG to print
only tagged records within the group you have previously selected. Answering
'N' (No) tells RG to print all records within the group you selected.
Next, RG needs to know if you want a 'Form Feed Between Each Record?'.
Answering 'Y' (Yes) to this question will cause RG to print 1 record per page.
Answering 'N' (No) will cause RG to print multiple records per page.
You can cancel the printing at any point by pressing the 'ESC' key.
After answering the 'Form Feed' question, there may be a slight delay before
printing starts. This delay will depend on whether you selected a specific
group, all groups, tagged records only or all records.
--- Quitting Report Generator:
By pressing 'ESC' at the Main Menu, you will be returned to CS4.

F10 Quits CS4 and returns you to DOS on the Contact Manager.
The 'ESC' key also acts like the F10 key.
'ENTER' Selects the highlighted date for editing.
As you change dates, Today's Date and the Appt. Date are displayed at the
bottom of the screen. In the command window you will find 'Today-At-A-Glance'.
In the schedule window, the first 3 hours of that days schedule will appear
if any exists.
--- Calculator:
The pop-up calculator is for quick arithmetic. Add, subtract, divide,
and multiply. Press F7 to send your data to the printer. You may use the
keypad for data entry and the 'Enter' key acts as the 'equals' key. After
pressing 'Enter' you may choose 'A' for Another calculation or 'Q' to Quit
the calculator.
--- Today-At-A-Glance:
This mini-schedule shows you the available time for the day currently
highlighted in the calendar. The |'s mark every half hour and the TAAG runs
the same period as the schedule itself, 7:00 am to 11:00 pm in 15 minute
increments.
Three characters are used to display the day's schedule graphically, they are:
▌ First 15 minutes of a 1/2 hour period
▐ Second 15 minutes of a 1/2 hour period
█ The entire half hour is occupied

Every 1st, 2nd, 3rd, 4th, 5th, 6th, 7th, 8th, 9th, 10th etc.
Your choice will appear in the frequency field on the right side of the
screen.
Next, another scrolling picklist will appear with all 65 timeslots in
CS4 (8:00 am to 11:00 pm). Again your choice will appear in the time field
on the right side of the screen.
Next a calendar, similar to the one on the date selection screen will appear
on the screen. Using the arrow, plus & minus, and Pg Up/Dn keys, you need
to press 'Enter' to select a start date. Then change the date and press
'Enter' to select an end date.
The start and end dates are displayed in the appropriate fields on the right
side of the screen. They are used to set limits as to when the repeating
appointments should be set.
For example:
Frequency = 1st Monday
Time = 8:00 am
Start Date = 05/01/94
End Date = 12/01/94
Schedules an appointment on the 1st Monday of May, June, July, August,
September, October and November of 1994.
The last thing you need to enter is the Appointment Description. This is the
entry (the APPOINTMENT) that will appear in the time slot selected (TIME) on
the day(s) or dates(s) selected (FREQUENCY) for the time period selected
(START/END DATES).
At nearly any field, pressing F10 or ESC will cancel the process and return
you to the date selection screen.
After entering the appointment description, flashing symbols (>> and <<) will
appear to the left and right of the option selections. Press F1 to start
recording the appointment or press F10 to cancel the process.

The date being examined will appear on the lower block line indicating which
DATE is being updated. The appointment description will be added to any
existing appointment in the time slot on that date, but remember the field
is limited to 67 characters so the possibility of overwriting previous data
is real.
When completed you will be returned to the date selection screen.
--- Error Codes:
Error Description/Solution
25 Device Fault - Disk write error. Physical problem exists with
the drive. Contact your service representative.
53 File Not Found - A file that Contact Scheduler needs can't be
found.
57 Device I/O Error - An error has occurred between your computer and
your hard drive. Contact your service representative.
58 File/Path already exists - The path already exists on the drive
you are trying to install to. Choose another drive.
61 Disk is full - The drive you are working on is full. Choose another
drive.
71 Disk not ready - Your floppy drive latch is not closed. Close the
latch.
72 Disk media error - The floppy disk or hard drive has a media
error. Contact your service representative.
75 Access denied - Your floppy diskette or hard drive is write
protected. Remove the write protection feature.
76 Path not found - The program is looking for a path on the hard
drive and cannot find it.
77 Invalid drive spec - The destination drive specified does not
exist.

Version 4.15 adds a few new features to CS4. Added the record advance and
retreat using arrow keys. Added the add record via the 'INS' key and the
delete record via the 'DEL' key. Added a new zipcode sort routine and
optimized the code to make this function about 70% faster than CS 4.00's
code. Added an 'Are You Sure' prompt to the delete group function. Added the
ability to select group names from a pop-up box by pressing 'Enter' at blank
fields for rename, combine and delete group functions. Added a 'Gas Gauge' to
the zipcode sort routine when the DATA.TMP file in created. Added a check for
zip codes sorted incorrectly and asks user if they want to continue or abort.
Corrected a bug in the scheduler section, the F1 - Print key was not working,
it is now. Documentation changes. Added the Page Up & Page Down record
movement instructions You may now skip 25 records forward or backward using
the 'Page Up' and 'Page Down' keys. Fixed a problem with CS4 not finding
the Select Printer file 'cm.ptr' correctly. Also, added a 'HOME' and 'END'
key function in the record selection module. Now you can get to record #1 by
pressing the 'HOME' key. You may get to the end of the file by pressing the
'END' key.

Version 4.00 is a major update that adds many new features and additional
fields. We've added an additional set of address fields, 4 more phone number
fields, 2 more fax number fields, a country field, expanded the comment to
78 characters per line from the previous 49 per line, changed the topics field
to a single 78 character field, made the phone number fields free form to
accept international number, expanded the State fields to allow for foreign
provinces, and made the Zip Code fields free form and larger to accept
international postal codes. We've added some new index files for faster
tagging, untagging and searching. New functions include an autodialer, delete
group, combine groups, rename group, merge (import) another CS4 data file,
integrated the Custom Report Generator, added new field management features
to the Comments and Topics sections, added an internal help system, printer
and COM port selection, additional printer, label and report presentation and
control options, added match FUD option, print envelope option, DOS shell,
changed the list groups feature, added the ability for user to select a group
name from within the Group field. Then we changed a whole pile of code to
help speed up the program and make it more efficient. Plus we expanded the
documentation to explain all the features, fields and operations is greater
detail.

Version 3.10 adds a new feature. The ability to print your current record
address on an envelope has been added.

Version 3.00 adds some new features and fixes an old problem that has annoyed
us for months. We added the gas gauge feature to the mass tag and mass untag
functions so you can graphically see how far you are in these processes. We've
added information windows when printing labels and reports that tell you when
the selected function is printing. When the window disappears you can continue
working on CS. We've added the ability to specify the name of the mail merge
file. So now instead of CS naming the file 'MAILMRG.DAT' you can name it
whatever you like and have as many different merge files as you like. We
finally fixed an intermittent problem. Occasionally, if you tried to set
'Match Group' to a group for which there were no records, CS would lock into
a repeating search cycle. This would happen when a user deleted all the
records in a group and did not run the reindex routine. When this happened
you had to reboot to clear the problem. Now, we have installed a limiting
watchpoint. If CS cannot find a record that matches the group you specified,
CS will halt the search and automatically run the re-index routine to update
your index file. CS will then set the match group to 'ALL' and display record
number 1 in the file. Fixed a small display bug in the mass tag/untag routine.
Fixed a small bug in v.2.70's new report printing routines. When printing
comment, CS would still try to print 2 records per page depending on a few
factors. This now works properly. We also added the ability to save a record
from any field if you do not have a mouse. Prior to version 3.00 when adding
or editing a record you had to 'Enter' through every field on the screen and
could only save a record from the comments field if you did not have a mouse.
Now you can save a record from any field by pressing the 'ESC' key. Also
changed the mass tag messages to specify 'Mass Tag' or 'Mass Un-Tag'. We also
made a few minor changes to the error handler to allow you to continue working
in cases where non-fatal errors occurred. Previously if the printer was
offline and you tried to print you would receive an error message identifying
the error and asking you to [A]bort or [R]etry. If you choose abort, CS would
end and return you to DOS. It now will send you back to the view window and
cancel the print request.

Version 2.70 changes the Print Group Reports and Print Tagged Reports sections
to print 2 records per page when comments are NOT included and 1 record per
page when comments ARE included.

Version 2.60 is a maintenance release that changes some internal code to
make the program run faster.

Version 2.05 corrects a bug that caused CS to re-arrange record numbers when
the first record was deleted and the file re-indexed. While this did not
cause a loss of data it was annoying enough to require correction. We also
added an error routine for zip code sorting. ZC sorting can take a LOT of
memory when large numbers of records are involved. CS will handle up to
3000 records without a problem, 3000 to 4000 can get hairy and over 4000
records is also impossible. We have added a watch point to check for enough
memory before attempting a large zip-code sort procedure and now allow the
user to abort the procedure when the memory requirements will be exceeded.

Version 2.01 corrects a bug in the Match Group selection box. The bug would
not recognize a Match Group of ALL.

Version 2.0 corrects a bug in the Last Edit Date Field. This version also
adds the Pop-Up Calculator and Pop-Up Calendar to the features list and
the ability to restrict the follow-up report to a range of dates.

Version 1.72 corrects two bugs. When mass tagging or untagging, the current
screen was not being updated. The Function keys were not activating the
correct functions in all circumstances. Both of these bug have now been
corrected.

Version 1.71 is a minor bug fix from version 1.70. A spacing bug developed
when printing labels. This problem has now been fixed.
